Who this is for Receptionists / Clinic Managers
Time required 20 minutes (to read and role-play)
Before you begin Your team must have memorized the standard sales scripts (see Membership Sales Scripts).
The Golden Rule of Objections
An objection may be a question. Answer it once, clearly and without pressure. If the patient declines, respect the decision.
Patient says: “I'll think about it.”
This is the most common objection. It usually hides a different concern (like price or commitment).
Poor Response:
"Okay, let us know if you change your mind."
Better Response:
“Of course. Would it help if I quickly showed you what you'd save based on your usual treatments?” (If they say yes, show them the math on a piece of paper or iPad. If they still want to think about it:) “No problem! I’ll just make a note on your file. If you decide to join before your next visit, you can actually sign up right inside our clinic app.”
Patient says: “I don't come often enough for this to make sense.”
Patients often forget how much they actually spend over a year.
Poor Response:
"That's fine, it's not for everyone."
Better Response:
“I completely understand. Actually, the membership is designed so that even if you only come in every 6 weeks instead of every 4 weeks, the discounts on your skincare products and injectables easily cover the cost.”
Patient says: “It's too expensive / I can't afford a monthly fee.”
Pivot from the cost of the membership to the savings on what they are already buying.
Poor Response:
"Yeah, it is an extra expense."
Better Response:
“I know another monthly bill sounds like a lot. But looking at your chart, you’re currently spending about ₹6,000 every time you visit. The membership is only ₹2,999, and it covers this exact treatment. It’s essentially cutting your current bill in half.”
Patient says: “Can I just pay each visit like I usually do?”
Your Response:
“You absolutely can! We just like to offer the membership because it guarantees you our lowest pricing. If you pay per visit today, your total is ₹5,000. If you use the membership, it’s only ₹2,999 today. Would you like to keep the ₹2,000 savings?”
Patient says: “What if I want to cancel?”
Remove the fear of being locked into a rigid contract.
Your Response:
“Our cancellation policy is [POLICY]. I can show you the terms before you join.”
(Note to staff: Refer to your clinic's specific Membership Lifecycle rules regarding cancellation notice and benefit expiry.)
What Good Looks Like
- Confidence: The receptionist doesn't freeze or get defensive when an objection is raised.
- Empathy: The receptionist acknowledges the patient's concern before giving a solution.
Numbers to Track
- Saved Sales: Keep a whiteboard in the back office. Every time a receptionist successfully navigates an objection and closes a membership, add a tally mark. Celebrate these wins!
