Front Desk & Check-ins

Your front desk works from the Admin Panel's top bar. Two buttons do most of the work:

  • Scan QR (keyboard shortcut S) checks patients in and redeems treatment sessions they've paid for.
  • Record cash sale records a treatment a patient paid for in cash at your clinic.

1. The patient's Clinic pass​

Every patient has a personal QR code for your clinic. In the app it opens from the round button next to the tab bar and is called the Clinic pass. The code belongs to that patient at your clinic, so they can show the same code on every visit.

Patients also have a separate QR code for each treatment package or course they've bought. They open it from the order in their app, and it's used to redeem a session.

2. Scan QR​

Click Scan QR and point the camera at the patient's code. Zennor reads the code and does the right thing automatically:

Good to know:

  • Visit points can be earned once per hour per patient. Scanning again within the hour records nothing new.
  • If a session code has already been used for this redemption, Zennor says so and doesn't deduct another session. Check the recorded session before trying again.
  • Points always go to the patient the code belongs to, never to the person holding the phone.
  • If the camera doesn't work, choose Find patient by phone instead and look the patient up by name or phone number. Select the patient before you record a visit or redeem a session.

Staff need the right access to scan (see Team & Roles):

  • Patient check-in lets them record visits.
  • Redeem treatment sessions lets them use up paid sessions.

3. Record a cash sale​

Use Record cash sale when a patient pays at the desk instead of in the app.

  1. Choose the Patient: search by name or phone, or add a New walk-in with their name and 10-digit mobile number.
  2. Choose the Treatment, or Other procedure… and type its name.
  3. Enter the Cash received.
  4. Optionally add an Internal note, such as the attending doctor.

The sale appears in Sales & Orders as a cash order. The patient earns Spend & Earn points on the amount, including the member multiplier if they have an active membership.

For a new walk-in who isn't in the app yet, the points are held for 90 days. Ask the patient to sign up in the app with the same mobile number to claim them.

4. If your Zennor subscription lapses​

After your subscription's grace period ends, your clinic stops taking new business: cash sales and visit check-ins are switched off. Your front desk can still use Scan QR to redeem sessions patients have already paid for, so patients never lose what they bought. See Your Zennor Plan.
