Referrals

Word-of-mouth is the most reliable growth channel for aesthetic clinics. Zennor includes a built-in referral system that automatically tracks patient sharing and handles bonus point distribution without manual front-desk work.

This guide explains the actual operational behavior of the referral system.

1. Referral Code Generation & Sharing

Once referrals are active for your clinic, every patient gets a unique 8-character referral code (e.g., X7K9M2P4) in the Patient App, created the first time the app loads it. Codes use capital letters and digits and leave out characters that are easy to confuse (I, O, 0 and 1).

Patients can find their code in the Rewards tab of the app. They can tap a button to share it directly with friends via WhatsApp, or copy it and share it through their phone.

2. The Referral Workflow (Attribution)

The system blocks self-referrals and referral loops while making sure both the existing patient and the new patient are rewarded.

Here is exactly what happens when a referral code is used:

  1. Signup (Referee Bonus): A new patient (the referee) downloads your app and enters the referral code during registration. The system instantly credits the new patient with their bonus points to encourage them to book their first treatment.

  2. Notification: The existing patient (the referrer) receives a push notification: "Someone used your code! 🎉", followed by a message saying how many points they'll get when that person makes their first purchase.

  3. First Purchase (Referrer Bonus): The system holds the referrer's bonus in a pending state. As soon as the new patient makes their first paid purchase, the system automatically releases the bonus points to the original referrer. A free order, or one paid entirely with wallet credit, doesn't count.

  4. Refunds and chargebacks: if that first purchase is fully refunded, or your clinic loses a chargeback on it, the referrer's bonus is taken back once. A partial refund doesn't change it.

Duplicate and self-referrals

The system prevents self-referrals (a patient using their own code) and referral loops. A new patient can apply only one referral code, and only before their first verified purchase. Once a code is applied, it is locked to that profile.

3. Configuring Referral Bonuses

You control exactly how many points are awarded for a successful referral. Referrals are included in the Growth and Chain plans, and during a free trial. On the Essentials plan, new referrals don't earn points. See Your Zennor Plan.

  1. Open App Builder > Loyalty & Rewards in the Admin Panel.
  2. Find the Referral Bonus earning rule.
  3. Set the points to award. The same amount goes to both the referrer and the new patient (200 points each by default).
  4. Switch the rule off to pause the referral programme.

Note: There is no direct revenue-percentage attribution. The referral system operates entirely within the loyalty points economy.

4. Visibility & Reporting

  • Patient View: The Rewards tab in the Patient App shows the patient's referral code and how many points a referral is worth.
  • Clinic View: The referrals panel in Client Profiles lists the clinic's referrals with completed and pending counts, points awarded, top referrers, and date filters.
